A website as sweet as the treats.

Helena Saba is Thee Ice Cream Lady of West Palm Beach, bringing Italian ice, popsicles and ice cream to weddings, offices and parties across Palm Beach County. We built a website that books her events and an admin she runs the whole business from, right on her phone.

Mobile ice cream, Italian ice and popsicles · West Palm Beach, Florida

The business

About Portofino Frost.

Portofino Frost is a mobile ice cream business run by Helena Saba alongside her mom. It started with the Juno Buggy, a buttery yellow convertible Beetle with a freezer in the back, and today an ice cream van brings artisanal Italian ice, real fruit popsicles and ice cream truck favorites to weddings, offices, birthdays and backyard parties across Palm Beach County.

Helena also runs pop-ups around the county and is starting an Italian ice hydration program for senior living communities. The new website and admin were built from a blank page for how she actually books and sells.

The challenge

What the project had to solve.

  1. 01

    Bookings, not just likes

Event requests came in by call, text and Instagram message. She needed one form that collects the date, place, guest count and treats, and one list to quote from.

  2. 02

A menu that changes with the season

Flavors come and go. She needed to add, pause and hide flavors herself, without waiting on anyone.

  3. 03

    Pop-ups people can find

Followers needed to know where the van will be next, with old dates dropping off on their own.

  4. 04

Getting paid, and knowing the numbers

Deposits, invoices, cash, Venmo and Zelle sales at pop-ups, and expenses all needed to land in one place, with profit she can actually see.

The website

Built around the celebration.

Designed from a blank page around how people book a mobile ice cream truck.

  • An ocean sunrise opening

The homepage opens on the water and a fishing pier at sunrise, with Helena and her treats front and center.

  • The flavor menu

Every flavor with its type, a short description and fan favorites, kept up to date from her admin.

  • Event booking form

Date, start time, guests, location and the treats they want, sent straight to her admin with a copy to the guest.

  • A card for every celebration

Weddings, corporate events, birthdays and private parties, each with its own card she can change herself.

  • Where's Thee Ice Cream Lady?

Upcoming pop-ups on the homepage, gone by themselves once the day is over.

  • Her story

The Juno Buggy where it all began, an about section in Helena's own words and a photo gallery.

The admin

Everything behind the ice cream van.

The admin Helena runs Portofino Frost from, on her phone or a laptop.

Shown before any customer bookings.

Book the events

  • BookingsRequests from the website and bookings she adds herself. A deposit invoice holds the date, and the booking moves to Booked once it is paid.
  • Event agreementsAgreement wording that fills in the guest's name, date, place and totals on its own.
  • RemindersA confirmation email, plus reminders a week before and the day before.
  • iPhone calendarBookings and pop-ups show up in her Calendar app by themselves.

Sell the treats

  • Flavor menuAdd a flavor, pause it when it runs out, and hide it when it is out of season.
  • Online shopPay online and pick up at the next pop-up, by card, Venmo or Zelle.
  • New saleA quick checkout for pop-ups and walk-ups: cash, Zelle, Venmo, a card link or Tap to Pay.
  • Pop-upsDates for the website that drop off when the day is over.

Get paid and track money

  • InvoicesEmailed from her business and paid by card into her own Stripe.
  • MoneyIncome, expenses, profit and loss and a spreadsheet download.
  • Profit per itemA price and a cost for each item, so she sees what every flavor earns.
  • Photos and QR codesChange the homepage photos, manage the gallery, and make QR codes for flyers and the van.

Client review

How it connects

From one request to a booked date.

  1. 01Request on the site
  2. 02Lands in Bookings
  3. 03Flavors and quote sent
  4. 04Deposit invoice paid
  5. 05Date booked
  6. 06Reminders sent
  7. 07Treats served
  8. 08Income in Money

The website and the admin share one database. A request on the site becomes a booking, the deposit invoice moves it to booked once it is paid, and the payment shows up in Money on its own.
